Forma Space Inc. (“Forma,” “we,” “us,” or “our”) respects your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your personal information when you visit forma.space, use the Forma Portal, visit our facility in Vaughan, Ontario, or interact with us in any other way.

We are committed to complying with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy legislation.

2. Information We Collect

Information you provide directly:

Name, email address, phone number, company name, and job title when you register for the Forma Portal, submit a contact form, apply for a contractor membership, inquire about a brand partner display licence, or register for events or Consumer Experience Days.

Information collected automatically:

When you visit our website, we may automatically collect device information (browser type, operating system, screen resolution), IP address, pages visited and time spent on pages, referring URL, and general location data derived from your IP address. Information collected at our facility:

When you visit Forma in person, we may collect check-in data, visit frequency and duration, QR code scan data at brand partner displays, and information you voluntarily provide to staff or through on-site digital interfaces. This data helps us provide analytics to brand partners and improve the visitor experience.

3. How We Use Your Information

We use the information we collect to: operate, maintain, and improve the Platform and our facility; process membership applications and display licence inquiries; provide visit analytics and lead attribution to brand partners (in aggregate or as consented); send transactional communications (account confirmations, event reminders); send marketing communications where you have opted in; comply with legal obligations; and protect against fraud or unauthorized access.

4. How We Share Your Information

We do not sell your personal information. We may share your information with: brand partners at Forma, when you interact with their displays or request information (e.g., scanning a QR code at a display constitutes consent to share your contact information with that brand partner); service providers who assist us with hosting, analytics, email delivery, and payment processing, under contractual obligations to protect your data; legal authorities, when required by law, court order, or to protect the rights and safety of Forma or others; and business transferees, in the event of a merger, acquisition, or sale of assets.

5. Data Retention

We retain your personal information only as long as necessary to fulfill the purposes for which it was collected, or as required by law. Account information is retained for the duration of your active account and for a reasonable period thereafter. You may request deletion of your account and associated data at any time by contacting us.

6. Your Rights

Under PIPEDA and applicable privacy laws, you have the right to: access the personal information we hold about you; request correction of inaccurate or incomplete information; withdraw consent to the processing of your personal information (subject to legal or contractual restrictions); and request deletion of your personal information.
